First, we analyzed the current process and identified the series of bottlenecks that prevented scalability of throughput. After analyzing the process and speaking to team members on the front lines, we identified the following issues:

Problems encountered:

Poor quality submissions - Not correct forms, missing information, or potentially fraudulent submissions.

Manual accounting calculations - Each submission required a manual calculation line by line on each form being ammended.

Manual form creation - Each submission required a 4-6 new forms to be created and sent to the IRS.

Client Communication - Each issue was resulting in staff having to reach out to clients for manually resubmission of documents.

Solutions Implemented

  1. Document Analyzing AI - We implemented a document analyzing Optical Character Recognition that would take the clients submission and analyze it for quality. This would allow us to reject submissions that were not correct or missing information.
  2. Document Extraction - We implemented a document extraction AI that would take the clients submission and extract the data from the forms. This would allow us to automate the calculations and form creation.
  3. Automated Formulations - We implemented a system that would take the extracted data and automatically create the new amendment forms. This would allow us to automate the form creation and submission to the IRS.
  4. Client Communication - We implemented a system that would automatically reach out to the client for any missing information or incorrect submissions. This would allow us to automate the communication process and reduce the amount of manual resubmissions.
  5. Tax Form Generation - We implemented a system that would automatically generate the tax forms for the client to sign. This would allow us to automate the form generation and submission to the IRS.
  6. Automated Submission - We implemented a system that would automatically submit particular forms to the IRS via a 3rd party Mailing Service via API.
